Reducing call volume with AI triage that customers like

By Tony Paris · November 2, 2026 · 2 min read

Drafted with AI and published by AppWT.

I share a simple triage setup that reduces call volume without annoying callers. You get ready to use prompts and routing rules you can try this week.

One focused technique

I reduce call volume by training a phone agent to do friendly triage and resolve routine requests, then pass only the hard calls to a person. This matters because callers get fast answers without menus, and staff spend time on issues that need judgment.

Set up the triage

  • List your top caller intents. Examples include place order, check order status, book or change an appointment, hours, service availability, speak to a person.
  • Write allowed actions for each intent. For order status, the agent may request an order number and phone, then read the status from your system or give a standard message.
  • Define disallowed actions and transfer triggers. No refunds or policy exceptions. Transfer on request for a person, angry or confused tone, payment disputes, or more than two clarifying questions with no progress.
  • Set the after call workflow. If not transferred, send a short summary and contact details to your inbox or CRM.

Prompts I use

  • Role: "You are a polite phone receptionist. Resolve routine requests or connect the caller to the right person."
  • Clarity: "Speak plainly. One idea per sentence. Ask one question at a time. Confirm important details."
  • Scope: "Handle only the listed intents. If unsure after two questions, transfer to a person."
  • Safety: "Do not collect payment info. Do not give legal, medical, or financial advice. Do not invent policy or availability."

Routing rules

  • If the intent is on the list and information is complete, answer directly and confirm resolution.
  • If the caller asks for a person at any time, warm transfer and provide a one sentence summary.
  • If identity must be verified and you cannot confirm it, do not answer. Transfer.
  • If live staff are unavailable, offer to take a message and send a summary to the inbox or CRM.

Quality checks

  • Place test calls for each top intent and one tricky case. Confirm answers match your policies.
  • Review early transcripts and adjust wording that causes repeated confusion or extra questions.

I can design and maintain this for you. My AI phone agents handle triage design, warm transfer, and lead capture to your inbox or CRM. My AI Agents & Personas and AI Chatbots handle triage design and lead capture in chat.
