I built a sales data voice and chat assistant for a multi location retailer with on premises data. I explain the constraints, my approach, and steps you can copy without sending data off network.
Overview
I built a sales data voice and chat assistant for a multi location retailer, so leaders could ask questions and get on network answers. The goal was fast, plain English numbers without sending any business data off the company network.
The problem
Leaders needed quick answers about sales, returns, and inventory by store and by day. They wanted to speak to a phone agent or use chat and get accurate, sourced responses.
Constraints
All data lived on premises and nothing could leave the network, with read only, auditable, role limited access.
My approach
I deployed the assistant on a server under the retailer's control and connected it to read only database views. I wrote a small data dictionary that defined each metric so terms matched across teams.
- I mapped common questions to vetted SQL and kept natural language to SQL inside those guardrails.
- I returned answers with the query name and time window, and I logged every request and response on network.
- I masked sensitive fields and rounded numbers where policy required it.
For phone access, managers used a dedicated number. I checked identity with caller ID plus a spoken passphrase, then applied role permissions.
Automated reconciliation
I added a nightly check that compared point of sale totals to payment settlement records and flagged gaps. The assistant answered, "Any variances today" and listed items that needed review, with references to internal tickets.
What I learned
Short, sourced answers beat long reports, especially on a phone call. A clear glossary and strict read only paths reduce confusion and risk, and masking rules need edge case testing.
Try this week
- List ten sales questions leaders ask most and define each metric in a one page glossary.
- Create read only database views that answer those questions and test them with sample dates.
- Decide who can ask what, then write simple rules for redaction and rounding.
- Pick one secure channel to start, a dedicated phone number or a chat inside your portal.
How I can help
If you want a similar setup, I can design it with Full Conversational AI Agent, AI Phone, AI Agents & Personas, and Business Automation. I can design deployments to keep data on-network when required. AppWT Analytics can show which AI assistants send people to your website, and AppWT CRM can receive leads from my AI phone receptionist.
