What we do not do

AppWT does not source, scrub or resell buyer and seller leads. If a cold lead list is what you want, a lead vendor is the right purchase and we will say so.

What we do is the part those vendors do not: we build the website that captures the enquiry, we run the system that catches it, times it and works it, and we stay on the phone when something breaks. Buying leads and having somewhere reliable for them to land are two different purchases. We are the second one.

Calculated dates, which is the whole idea

A task is never stored as a date. It is stored as a distance from something real, such as "10 business days before closing". When the closing moves, and in real estate it always moves, every task attached to it moves too. You change one date. You do not rebuild a checklist.

A step can hang off the day the lead arrived, first contact, the appointment, the agreement, the listing going live, the offer being accepted, the inspection, the appraisal, the financing deadline, or closing. Business-day steps count working days only. If a step still lands on a weekend, a task due before a deadline moves back to the Friday rather than slipping later than you meant.

If a date the system needs is not known yet, the step is held and labelled as waiting on that date. It is not given a guessed deadline. A wrong date on a compliance task is worse than a visibly missing one.

Speed to lead, measured honestly

The system starts a clock when a lead arrives and stops it only when a call, text or email is actually recorded against that person. Opening the record does not stop the clock, because looking at a lead is not answering one.

Leads past your response limit are marked on the pipeline and on the lead list. The reports sort every lead into under five minutes, five to thirty minutes, thirty to sixty minutes, one to twenty-four hours, over twenty-four hours, and never answered, and show your fastest response and how many people are still waiting.

  • Lead capture from your own website

    A form on your site posts straight into your CRM. The lead is written to the database first and only then does anything try to notify you, so a failed alert can never cost you the lead itself. Requests are accepted only from web addresses you own.

    Stages you control, with lead cards you move by dragging. A card that misses your response limit carries a marker on its edge, so a stalled deal is visible without opening anything.

    Every call, text, email, note and stage change is recorded against the person, in order. You can see what was said and when it was said without asking anyone to remember.

  • Properties and IDX/MLS feeds

    Listings map from the RESO Web API standard, which is what ACTRIS, MLS Grid, Bridge, Trestle and Spark all speak. Each client gets their own feed record, so a second client in a different MLS is a setting rather than a development project. The system never invents a listing: if your feed is not connected, the screen says so instead of showing filler. Every stored listing carries its MLS attribution, because displaying the data without the required disclaimer breaks the licence.

  • Tasks and workflow automation

    Templates you build once and enrol a lead or a deal into. Steps become real, dated, assigned tasks the moment the deal is enrolled.

  • Transactions with commission tracking

    Gross commission, the house share and the agent share, calculated as a percentage or a flat amount. Money is held in whole cents rather than decimals, because a commission statement that is a cent out is a commission statement a broker will not sign.

    Scheduled email that goes out through our sanctioned mail path, with unsubscribes honoured and recorded. A contact who opts out stays opted out.

Alerts on your phone

A new lead pushes to your phone in seconds. It uses ntfy, a free app on iPhone and Android. You install it once, scan your code, and there is no charge per message and no account to create. Your alert channel is unique to your business and is treated as a secret, so it is never something guessable like your company name.

To be exact about what runs: ntfy is an outside service, not something AppWT hosts. AppWT Alerts, our own web push app, is a separate product and this CRM does not currently use it. We would rather tell you which piece is ours than let you assume.

Text messaging is not switched on

The CRM can plan a text step, but it does not send text messages today, and it does not pretend to. A text step sits in the queue clearly labelled as not enabled, where you can see it. It costs nothing and it sends nothing.

The reason is not the code. In the United States every business texting consumers has to be registered with The Campaign Registry before carriers will deliver, and that requirement applies to every provider. When you decide to turn texting on, we add the credentials and the queue starts sending. Nothing else has to be rebuilt.

Your data stays yours

Each client's records sit behind their own boundary, and that boundary is enforced in one place in the code rather than being remembered page by page. Pages are never handed open access to write their own queries. One client cannot see another client's people, deals or listings.

It runs on our own servers in the United States, managed by us. You can export your records. If you leave, you take them with you.
