I explain what a BOM and revision control are and why they matter for quoting. I give simple steps to set up versioning that keeps sales, engineering, and purchasing aligned.
What BOM and revision control mean
A bill of materials, or BOM, is the complete list of parts, assemblies, and services needed to build one unit of a product. A configurator can generate the BOM in real time from the options a sales rep or customer selects, often paired with a live price, a visual preview, or computer aided design files, or CAD. Revision control is a clear code on the BOM and documents that marks a specific frozen version when anything changes.
Why it matters
Sales, engineering, and purchasing need to work from the same version every time. When the quote, the drawing, the BOM, and the price share one revision, you reduce the chance of misbuilds, rework, and delays. Real time configuration with a visual preview and CAD only helps if the BOM and price match the same revision.
What to do this week
I keep the process simple and consistent so it sticks. Use this starter checklist.
- Pick a simple revision code like A, B, C for quotes and builds. Do not rely on dates alone.
- Write what triggers a new revision. Examples include a part change, a quantity change, a routing change, or a customer approval note.
- Add fields to your BOM header and quote. Include revision, effectivity date, quote or order ID, change note, and approver.
- Map each option in your configurator or spreadsheet to part numbers and quantities. Add rules that prevent incompatible picks.
- When a quote is saved, freeze a copy of the BOM under that revision. Do not overwrite. Create a new revision for any change.
- Generate the visual preview and CAD from the same rules so they reflect the same revision.
- Share a one page PDF or a link of the quote and revision with purchasing and production, and store it in your system of record.
- Before purchasing places orders, run a quick change review against the current revision and sign off.
Using my website quote tool
To feel how snapshots help, try my website quote configurator. You pick every feature, integration, and tier, see a live instant quote, and can save and share the selection. The page lists 91 options. When you save a quote, add your own internal revision code so your team can match it to drawings and the BOM.
How I can help
If you want a configurator that ties options to a structured BOM with clear revisions, I build these under Custom Development > Applications and Custom Development > Business Systems & Portals. For a working example of quoting flow, my Website quote configurator shows live picks and a saved quote, and AppWT Analytics can show which AI assistants send people to it.
