I give a clear booth day-of checklist that covers setup, lead capture, and follow up. You can use it as-is or adapt it to your event plan.
Why this checklist
Here is my day-of booth checklist you can use at any event. Each item includes what to do and why it matters. Print it and hand it to whoever opens the booth.
Setup essentials
- Arrive early with the booth map and onsite contact saved, so setup stays calm.
- Bring power strips with surge protection and extension cords, so limited outlets do not slow you.
- Pack gaffer tape or cord covers, so cables stay safe and tidy on the floor.
- Carry a charged power bank and spare chargers, so tablets and phones never die mid demo.
- Test venue Wi-Fi and your hotspot, so forms and demos work even if one fails.
- Place a clear sign with your offer and a QR code, so passersby know why to stop.
- Lay out a simple one page handout, so people leave with the key points.
- Stock a small kit with pens, markers, scissors, zip ties and wipes, so fixes are fast.
Lead capture and follow up
- Use a short lead form on a phone or tablet, so you capture clean info quickly.
- Keep paper forms on clipboards as backup, so you keep working if tech fails.
- Include clear email and text consent checkboxes, so follow up respects privacy; confirm specifics with your attorney or compliance advisor.
- Ask before scanning badges, so you do not surprise people or break event rules.
- Add a notes field for context, so you remember the topic and promised next step.
- Capture business cards with a quick photo or drop box, so nothing gets lost.
- Send a same day thank you to warm leads, so your name stays front and center.
- For texting, only message contacts who agreed and include opt out info, so your texts stay welcome.
