I show simple steps to collect event leads into AppWT CRM using short forms, QR codes, and clear consent. I include a packing list, a show floor routine, and a post event checklist.
To capture leads to AppWT CRM at events, I keep the process fast, simple, and privacy friendly. These steps work on a noisy show floor and back at the office.
Plan the capture
- Decide the single form you will use. Keep only essentials like name, company, email, mobile, interest, and a consent checkbox for email and text.
- Write plain consent language. Example: I agree to receive messages and I can stop at any time. Confirm details with your attorney or compliance advisor.
- Plan a simple event label you will record for every lead in your system.
- Create a QR code that opens the form. A QR code is a square barcode that a phone camera reads to open a link.
- Print two signs with the QR code and a headline like Scan to get the checklist.
- Load the form on tablets and lock each tablet to the form. Pack paper cards with the same fields and consent for backup.
Run the booth
- Place the QR signs at eye level on both front corners. Keep the tablets on stands so people can type quickly.
- Offer a small useful item, like a teardown, template, or demo replay. Offer to send it by email or text.
- Ask visitors to scan and fill the form themselves. If a line forms, collect name and email, then finish details after the rush.
- Keep a notepad for conversation notes tied to the person. Enter notes into the contact record the same day.
- Post a dedicated event phone number. My AI phone receptionist can answer and turn each call into a lead in your inbox or CRM.
Move into AppWT CRM
- After each day, add new contacts to AppWT CRM and note the event on each contact (use whatever segmentation your CRM supports).
- Send a short thank you within one day that delivers what you promised. Only text people who checked the text consent box.
- Create calendar follow ups for hot conversations this week. Schedule a second email for everyone else next week.
What to check
- Each contact shows the event and how you got consent.
- Messages identify your organization and include a way to stop texts. Confirm specifics with your attorney or compliance advisor.
- No one received messages without consent. Remove anyone who asked to stop.
I can help set this up end to end with Marketing > Plans, connect and organize in AppWT CRM, and prepare follow up through Marketing > CRM, Marketing > Email Marketing, Marketing > Social Media Marketing, and Marketing > Text Alerts.
