I walk you through a simple pipeline setup in AppWT CRM that you can put in place this week. I cover stages, task habits, tags, and quick checks to keep deals from stalling.
To set up AppWT CRM for pipeline basics, I define clear stage names, daily task habits, and a simple tag convention to guide every deal. This keeps me focused on the next action instead of guessing. Here is the plan I use when I stand up a new pipeline.
Plan your pipeline stages
- Pick a short list of stage names such as New, Qualified, Proposal, Decision, Won, Lost.
- Write when a deal enters and leaves each stage in plain language.
- Note the single success path from first contact to closed won.
- List common off ramps such as no budget or not a fit as closed lost reasons.
Set tasks that move each stage
- For New, commit to first response within one business day by phone or email.
- Use a simple follow up pattern such as day 1, day 3, day 7, then weekly.
- During Proposal, schedule a review meeting when you send it.
- In Decision, set a clear yes or no date and plan the check ins.
Use tags to keep context clear
- Create a small tag list you will actually use.
- Include tags for source such as website, phone, or referral.
- Add product or service tags so you can find the right records quickly.
- When context changes, remove old tags so your lists stay clean.
Capture every lead
- Make sure your website form sends to an email you watch or to your CRM.
- Route sales inbox messages into the place where you track deals.
- If you use my AI phone agents, have them send call summaries into your inbox or CRM.
- Do not start a deal without a contact method and a first follow up date.
What to check when done
- Create a test lead and walk it through your defined stages to confirm the flow.
- Confirm each stage has a next task you understand and can do.
- Scan your list by each tag name to make sure you can find what you need fast.
- Call your AI phone number, leave a test message, and confirm the summary lands where you expect.
If you want a hand, I can set up your pipeline conventions, task routines, tag naming, and intake in AppWT CRM. My CRM service and my AI phone agents fit well with this work.
